Admin & Role Management

Overview

You manage all admin roles across the platform. This includes assigning users as Society Admins, Regional Admins, State Admins, and Accountants. Each role is scoped to a specific entity (society, region, or platform-wide).

Viewing All Users

  1. Navigate to Users
  2. The list shows all platform users

Assigning a Role to a User

  1. Navigate to Users → [Select the user]
  2. Open their Role Assignments section
  3. Click Add Role
  4. Select the role:

  1. Click Assign

What Happens After Assignment

  • The user immediately gains access to the role's features
  • Their sidebar navigation updates to show role-appropriate sections
  • They can switch between roles if they have multiple
  • The assignment is logged in the audit trail

User Role Details

Each role assignment shows:

Removing a Role

  1. Navigate to the user's detail
  2. Find the role assignment to remove
  3. Click Remove Role
  4. Confirm the action
  5. The user immediately loses access to that role's features

Managing User Status

  1. Navigate to Users → [Select user]
  2. Click Change Status:

Blocking an Admin

Blocking a Society Admin means the society has no one to process bookings, payments, or approvals. Ensure a replacement admin is assigned before blocking.

Creating a New Admin User

You can create admin users directly from the platform:

  1. Navigate to Users → Create Admin User
  2. Fill in the required details:
    • Full name, email, phone number
    • Select the role (SOCIETY_ADMIN, REGIONAL_ADMIN, STATE_ADMIN, ACCOUNTANT)
    • For society-scoped roles: select the society
    • For regional-scoped roles: select the region
  3. Click Create
  4. The system creates the user account with a generated password
  5. The new admin receives an email with their login credentials
  6. They can change their password on first login
tip

Alternatively, if the person already has an HOCO RCS (H) account (e.g., they registered as a citizen), you can find them in Users by searching their email or phone and assign the admin role directly.

Multi-Role Users

A user can hold multiple roles simultaneously:

  • e.g., SOCIETY_ADMIN for Society A + SOCIETY_ADMIN for Society B
  • e.g., REGIONAL_ADMIN for Region X + SOCIETY_ADMIN for Society within Region X

The user can switch between roles in the portal to access different dashboards and features.

Common Scenarios

"A Society Admin is on leave — how do I assign a temporary replacement?"

  1. Find or register the replacement user
  2. Assign them the SOCIETY_ADMIN role for the same society
  3. Both admins can now operate on the society
  4. When the original admin returns, remove the temporary assignment

"I need to promote a Society Admin to Regional Admin"

  1. Navigate to the user's detail
  2. Add the REGIONAL_ADMIN role with the target Region
  3. Optionally remove their SOCIETY_ADMIN role if they're moving up
  4. They now see the Regional Admin dashboard

"A user was registered with the wrong email"

User email changes are handled through the user management interface or support tools. Navigate to the user detail and update their email if the interface allows, or use the database management tools for corrections.

"How many admins can a society have?"

There is no hard limit. You can assign multiple SOCIETY_ADMIN users to the same society. This is useful for:

  • Larger societies with multiple staff
  • Enabling Maker-Checker workflows (different admins for recording and verifying)
  • Backup coverage during absences
